Inovosystems developed a multi-tenant accounting document management platform that gives each accounting firm (tenant) its own secure workspace with isolated client data. The platform combines a powerful dynamic form engine, structured document management, role-based access control, and a REST API for mobile access — all backed by a robust .NET Core architecture and SQL Server database.

The system defines four distinct roles — SuperAdmin (system-wide), Admin (firm-level management), Accountant (assigned client access), and Client (document submission and self-service) — each with precisely scoped permissions. A built-in AI agent extracts financial intelligence from uploaded documents, performing preliminary financial analysis, income and expense categorisation, trajectory forecasting, and tax calculations directly from client bank statements and supporting documents.

Dynamic Form Engine

21 field types with cross-field relationships, conditional logic, value propagation, and auto-sync on template changes. Accounting firms can design custom engagement letters, checklists, tax questionnaires, and compliance forms — without developer involvement. Templates update across all active requests automatically.

Document Management

Documents organised into monthly folders (auto-named e.g. Apr-2026) with support for form request files, direct uploads, and email attachments. A three-level permission system controls access at the client, folder, and individual request level — ensuring accountants see only what they're authorised to see.

Role-Based Access

Four tiers — SuperAdmin, Admin, Accountant, Client — each with granular permissions. Clients submit documents and view their own requests. Accountants access assigned clients only. Admins manage their firm's templates, users, and approvals. SuperAdmins oversee all tenants. Client-to-accountant assignment via a many-to-many relationship.

Two-Factor Authentication

SMS OTP via GSM gateway and email verification for secure access. Login throttle with configurable attempt limits and lockout duration. JWT bearer tokens for mobile API access with 10-day expiry. Password reset with time-limited GUID links. All authentication backed by ASP.NET Core Identity.

Dual Interface

Full-featured MVC Razor UI for desktop use plus a RESTful JSON API for mobile applications. Accountants can review client submissions, upload documents, and manage workflows from any device. The API uses JWT authentication and mirrors all core platform capabilities.

Audit & Compliance Trail

Every action — form submission, document upload, permission change, template edit — is logged with JSON snapshots. Full audit history per request and per user. Automatic migration on startup ensures database schema is always current. Comment threads on requests provide a complete communication record.

The AI agent automatically reads and extracts financial data from uploaded bank statements, invoices, receipts, and SARS assessments. Income & Expense Categorisation

Every transaction extracted from uploaded documents is automatically classified into income or expense categories — operating revenue, cost of sales, salaries, utilities, travel, professional fees, and more. The AI learns from each firm's chart of accounts and improves categorisation accuracy over time, reducing the need for manual reclassification.

Trajectory & Forecasting

VAT & Tax Calculations

The AI agent performs preliminary VAT calculations based on categorised income and expenses extracted from bank statements and invoices — including VAT input/output splits, zero-rated vs standard-rated identification, and provisional tax estimates.
